What Services Do We Offer Property Owners?
1. Our Standard Property Rental Service
Our standard rental service is suitable for those owners wishing to retain full responsibility for managing their property whenever it is being rented out by Cape Portfolios.
Under our Standard Property Rental Service, Cape Portfolios will assist the owner with marketing their property and arranging holiday lets, but it then remains the owner's responsibility to manage and maintain their property year round, including during holiday rental bookings. This includes the owner being responsible for helping to check tenants in and out, to arrange housekeeping, pool cleaning and other services, to carry out damages checks after rentals, and to be available on call at all times during rentals to arrange urgent maintenance work.
Many of our owners in this category are locally based and provide these management services directly themselves while others employ their own "house manager" or use a professional property management company other than Cape Portfolios.
Cape Portfolios' responsibilities under this standard arrangement are essentially to market the property at rates agreed with the owner on our website and through our other marketing and agency channels, to negotiate and finalise rental agreements with our clients and to process the rental payment to the owner's account, as well as retaining an agreed damages deposit against any breakages in our estate agency Trust account. The damages deposit is then released by agreement with the owner only once the property has been checked by the owner or their managing agent following each rental.
Owners wishing to make use of our service will first be asked to complete and submit a simple questionnaire to our team to assess the suitability of the property for our rental portfolio. Assuming it is suitable, we always then insist on personally inspecting any property before adding it to our rental portfolio having advised the owner on rates and the rental we believe to be achievable.
We will then enter into a formal rental mandate agreement with the owner which can either be on an exclusive or non exclusive basis as we appreciate some owners like to work with other rental agents as well as Cape Portfolios and in some cases also to market and rent the property out directly themselves.
Our most popular destinations have always been along Cape Town's "Atlantic Seaboard" (particularly in Camps Bay and Clifton) but we have over 250 properties in all on our books and are also now successfully renting out upmarket holiday properties in central Cape Town and the V&A Waterfront, the Cape Peninsula, Constantia, the Cape Winelands and the Garden Route.
There is no charge for listing a property on our website. Other than providing us with professional quality property images, the only cost to an owner for utilising Cape Portfolios' Standard Property Rental Service is the commission that we charge on holiday rental bookings which is generally 20% (including VAT) off the public or "rack rate" agreed with the owner. We can also assist owners to obtain professional quality images of their property at reasonable rates from one of our recommended photographers.
2. Our Managed Property Rental Service
Many owners are unable to retain responsibility for managing their property all year or during rentals as they live elsewhere or plan to be away from Cape Town while their property is let.
Catering to the needs of such owners, Cape Portfolios was one of the first companies in Cape Town to set up a dedicated, professional property management service in 2001 that we have been developing and improving on ever since. In addition to the rental agency roles described under our Standard service described opposite, our Managed Property Rental Service therefore provides for Cape Portfolios to handle all aspects of managing an owner's property either throughout the year, or occasionally just during popular rental periods like Christmas.
The additional management services we provide under this arrangement include checking each property regularly whilst unoccupied, being on call 24/7 to handle late night and weekend check-ins, respond to alarm activations and to assist tenants at all times with urgent maintenance issues. Our managed service also includes preparing, checking and stocking properties before and after rentals, including damages and inventory checks, arranging maintenance, building work and refurbishment using our large network of trusted local service companies, arranging housekeeping, pool cleaning, gardening and window cleaning services, as well as paying rates, electricity, telephone and all other outgoings as required on our owners' behalf.
Our two experienced Property Managers, Samantha Muller and Terence Rice and our Assistant Property Manager Muluvheni Ndou are responsible for day to day management of the properties as well as supervising our established and reliable team of 17 housekeeping staff. Our Office Manager Pia Paulson and in house accountant Ann Symmonds pay all outgoings and handle rental payments through our audited Trust account. They then prepare and send our owners very detailed monthly management statements itemising their rental income and every item of expenditure that we incur on their behalf.
Our managed property owners who live elsewhere most of the year also enjoy access to the same range of in-villa and tourism services as our rental clients, such as fridge stocking, private catering, car hire, and tours which helps make our owners' stay at their well-maintained holiday properties even more relaxing and enjoyable.
Given our team needs to be on hand at all times to monitor our managed portfolio, our Managed Property Rental service is currently limited mostly to Camps Bay, Clifton and Llandudno, though we do sometimes extend our services slightly beyond these areas on request.
Our charges for this service vary depending on the size and nature of the property and the exact scope of the services required by individual owners. However the basic fee structure generally involves a monthly management fee/retainer in addition to our standard 20% commission (including VAT) on rentals, plus owners are charged at cost for items such as cleaning service, maintenance work, pool and garden services. We also offer a slightly different fee structure where we assist Cape Town resident owners wishing to rent out their properties on a fully managed basis just over certain popular times of year, such as Christmas and New Year or over February and March.
